Role purpose

We are looking for a Corporate information and document controller to manage and maintain all company-owned information   resources and associated content. This includes ensuring that the storing, archiving, and structuring of the layout of information resources is clear and consistent across and throughout the organisation. Responsible for developing and implementing cataloguing systems, as well preserving the relevance and accuracy of catalogued items and to make sure that Policies within CITB are up to date and reviewed within agreed timescales. To assist the Information Risk & Data Governance Manager in the provision of guidance across all areas of CITB, ensuring compliance to all areas of regulation and internal policy in relation to information governance by answering queries and providing guidance.

Responsibilities and accountabilities

Support the Information Risk & Data Governance Manager in ensuring and reporting upon information governance compliance and implement the overall information Governance Strategy and providing advice and guidance to colleagues across CITB where appropriate.

Undertake the collation and response to simple regulatory requests for information and support the more complex requests with the assistance of others in the team, including DSAR and FOI Requests.

To develop, embed and maintain the CITB Policy Framework, including the guidelines to centrally manage the Policies. To review all policies to ensure that the policy standards are adhered to, including approvals, managing deadlines and to analyse the Policies. To maintain records for audit and review purposes.

To oversee and maintain the management of all of CITB’s records systems that relate to all the statutory requirements that CITB have to comply with, including the structuring and organisation of the records systems and applying relevant retention protocols, editing, reviewing documents and version/documents controls and in educating and informing regarding the standards to be applied and maintained.

To handle the retrieval of documents, and to potentially to create a records request system to receive requests, logs the requests in a database system and then provides the requested materials or it may be more informal.

Be a subject matter expert in resolving complex/technical problem-solving including filing and index structuring issues

  • Demonstrable experience in interpreting and analysing data and/or complex arguments and communicate key points orally or in writing
  • Ability to work on own initiative
  • Ability to research, reason and explain information request documentation and guidance.
  • Attention to detail
  • Supports change by considering different ways of working for greater effectiveness
  • Confidence in decision-making for the consistent application of policy
  • Experience of working effectively with stakeholders at all levels

Desirable

  • Relevant qualification in an information risk / record management discipline
  • Previous experience of information / records management
