Executive Assistant

Location – Peterborough (Hybrid working)

We are looking for two Executive Assistants to provide high-quality support to two of our Executive Directors. You will bring enthusiasm and strong organisational skills to the role, as well as a good ability to project manage and build and maintain relationships. At times you may be required to act on behalf of the Executive Director.

We embrace hybrid working and benefit from a good balance between home and office. To be successful in this role you must be comfortable working independently and be able to also spend some time working in the Peterborough office. This is flexible but may be up to 1 or 2 days per week, when needed. There will occasionally be the requirement to travel within the UK to our other sites and customers to support the business and executive director.

Job description:

The Executive Assistant will provide a high-quality, confidential, executive support service to the Executive Director and where appropriate for other specific activities across the business.

Key responsibilities and accountabilities:

The Executive Assistant’s primary accountability is to support the Executive Director -

This should maximise the time available to the Executive Director to concentrate on their strategic priorities and support them to achieve their objectives and lead the team.

Communication management - 

Provide a triage service for the Executive Director to ensure that all communications are dealt with effectively and efficiently by the most appropriate person.

Diary and itinerary management - 

Ensure the Executive Director is fully appraised of and prepared for all engagements by providing itineraries, briefings, speaker notes, presentations, summary reports and all the other information preparation duties, as required.

Project Management – 

Lead or facilitate small projects or event management as required by the Executive Director, providing advice, guidance and support to in-house or outside management teams.

Act on the Executive Director's behalf - 

Use discretion and judgement to address immediate or urgent team and business issues effectively and in a timely manner, escalating where necessary.

Essential Criteria:

  • A high level of organisation/project management experience to enable the Director’s needs to be anticipated and priorities to be judged and executed effectively.
  • Highly-developed written and spoken communication skills to communicate with discretion and tact
  • Highly-developed negotiating, influencing and persuading skills
  • A high level of emotional intelligence and empathy
  • Experience of managing conflict
  • Experience in a secretarial, personal assistant or similar role
  • Experience of working autonomously and remote from the office
  • Experience of using Microsoft Office or equivalent tools including spreadsheets, databases, document management and communication applications
  • Proven problem-solving experience
  • Attention to detail
  • Adaptability
  • Proven experience of working with highly confidential information

Desirable Criteria: 

  • Extensive knowledge of the business
  • Experience of working one-to-one
  • Experience of developing and implementing process improvement

  • Like many organisations, CITB operate on a hybrid working model where people are based in the office when they need to be and can work from home when this is best.  The pattern may vary but we expect this to mean no more than one or two days per week required in the Peterborough office in practice and the rest working from home – with the option for people who wish to work in the office more frequently to do so.
